Privacy Policy
Effective 2026-07-07 · Kaizen Signal, a d/b/a of Kaizen Auto Spa LLC ("we," "us")
This policy explains what information we collect when we operate AI-assisted call-answering and notification services on behalf of our business clients, how we use it, and your choices.
Information we collect
- Caller information from inbound calls our service answers: name, phone/callback number, service address, and the reason for the call.
- Call recordings and transcripts, where recording is in use (callers are notified that calls may be recorded).
- Contact details you provide to us directly (e.g., when you request a quote or sign up), including business name, email, and phone number.
How we use it
- To answer, summarize, and route calls and to notify the relevant business's dispatcher or staff.
- To create call logs and reports for the business client the call was placed to.
- To provide, support, and improve the service, and to communicate with you about it.
SMS / text messaging
We send service-related and operational SMS — including emergency/lead-dispatch alerts to designated staff and appointment/callback confirmations — to numbers provided with consent. Message frequency varies; Msg & data rates may apply. Reply STOP to opt out at any time; reply HELP for help.
We do not sell or share mobile phone numbers or SMS consent with third parties for their marketing. Text-messaging consent is not shared with third parties except sub-processors that help us deliver the messages.
How we share information
- With the business client whose phone line the caller dialed — they are the controller of their customers' information; we act as their service provider/processor.
- With service providers (sub-processors) that power the service — for example, telephony/voice, automation, database, and messaging vendors — under agreements limiting their use of the data.
- When required by law, or to protect safety, rights, or property.
- We do not sell personal information.
Retention
We retain caller records, recordings, and transcripts for approximately 90 days (or as directed by the business client), then delete or archive them, except where longer retention is required by law.
Your choices & rights
- Opt out of texts any time by replying STOP.
- Request access to, correction of, or deletion of your information by contacting us (below). If you are a California resident, you may have additional rights under the CCPA; we honor applicable requests.
Security
We use reasonable administrative and technical measures to protect information and limit access to those who need it to operate the service. No method of transmission or storage is 100% secure.
Children
The service is for businesses and is not directed to children under 13; we do not knowingly collect their information.
Changes
We may update this policy; the effective date above reflects the latest version.
